Medical Student Information System

Body

Active medical student education records are maintained electronically by the Office of Medical Education in an application known as Online Access to Student Information and Scheduling (OASIS). This software employs bilateral data exchange to interfaces with myUVM and other University systems.

  • Grades and enrollment information entered in OASIS populates official UVM transcripts.
  • Contact and demographic information entered in myUVM populates OASIS. It is essential that medical students maintain up to date contact information via myUVM.


 

Medical Student Access to Educational Records

Body

LCOM adheres to the FERPA Rights Disclosure statement to determine procedures that permit a medical student to review and to challenge their educational records, including the Medical Student Performance Evaluation (MSPE), if the student considers information contained therein to be inaccurate, misleading, or inappropriate.

Confidentiality of Student Education Records

Body

LCOM medical student educational records are confidential and only available to those members of the faculty and administration with a need to know, unless released by the student or as otherwise governed by laws concerning confidentiality.

If your position requires you to access OASIS, the Larner College of Medicine's electronic student record system, please complete the New User Request form available through the OASIS web portal.

Directory Information Exclusion
Some information about students is considered “directory information” as defined in UVM's FERPA Rights Disclosure Policy (PDF). The institution may share “directory information” unless the student has taken formal action to restrict its release.

A student may formally request that the University Registrar restricts disclosure of their directory information. Once a student files a directory information exclusion via the myUVM student portal, this change is effective immediately and becomes a permanent part of the student educational record unless and until the student removes the directory exclusion via the myUVM student portal. Within 24 hours of placing or removing a restriction through the myUVM interface, directory exclusions changes are reflected in OASIS. Exclusion requests do not affect the ability of school officials with a legitimate educational interest from accessing directory information.

Student Educational Record Retention

Body

Student educational records are retained in accordance with UVM Policy Records Management and Retention (PDF), the Records Retention Schedule established by the Office of Audit and Compliance Services, and AAMC Committee on Student Records Guidelines (PDF) . Permanent elements of the education record are archived in collaboration with the University Registrar's Office.
